Synergie is currently seeking a Policy Services Coordinator for a fast-growing Canadian MGA.  This candidate plays a critical role in driving growth by managing and facilitating the acquisition of new life insurance policies and segregated fund applications and transfers. As a Policy Services Coordinator, you will be responsible for ensuring applications are processed accurately, efficiently, and in a timely manner while delivering a high level of service to advisors and internal stakeholders.

RESPONSIBILITIES

 

  • Ensure all required documentation for new life insurance and segregated fund applications is complete and submitted on time
  • Process and monitor pending requirements, including medical orders and APS follow-ups
  • Verify policy approvals and follow up on delivery requirements
  • Ensure all life insurance policies are entered into WealthServ; manually add policies when required
  • Enter segregated fund applications and transfers into VieFund, ensuring all supporting documentation is included
  • Create and monitor transfer reminders (T2233s) in VieFund to ensure completion and verify expected vs. received amounts
  • Coordinate with Contracting to confirm MGA book purchases and expected values, particularly for segregated fund transfers
  • Ensure all segregated funds and annuities are coded correctly and received
  • Investigate discrepancies between expected and received transfer values by working directly with carriers
  • Work with carriers to schedule training sessions that support advisor growth and development
  • Attend training sessions in person, with a minimum commitment of one session every other week
  • Respond to all emails within 48 hours

REQUIREMENTS

 

  • 5+ years experience in a similar role at an MGA or recognized Canadian insurance carrier
  • Experience implementing policies and procedures
  • Experience growing and managing a team
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills
  • A proactive, service-oriented mindset
  • Familiarity with WealthServ, VieFund, or carrier portals is considered a strong advantage
